1) What VA.org Provides

VA.org provides veterans with educational resources, community features, and AI-enabled tools (such as chat/voice support and document/form assistance). Some features require creating an account and/or submitting information (including documents) for analysis.

2) Information We Collect

A. Information You Provide

Depending on how you use VA.org, you may provide:

  • Account data: name, email, phone number, password (stored in encrypted/hashed form), profile details
  • Veteran-related information you choose to share: service history, benefits/claims context, eligibility details, uploaded forms and supporting documents
  • Communications: messages sent through forms, chat, forum/community posts, emails, SMS, calls, and support requests
  • Payments (if ever offered for optional services): billing details are typically handled by third-party payment processors (we do not store full card numbers)

B. Information Collected Automatically

  • Device & usage data: IP address, browser type, device identifiers, pages viewed, clicks, referring URLs, timestamps, logs
  • Cookies & similar technologies: analytics, security, preferences, and advertising/retargeting (see Section 7)

C. Call and Voice Data (AI Joe / Phone Features)

If you call us or use voice features, we may collect:

  • Call recordings and/or transcripts, caller ID, call metadata (time, duration)
  • If enabled, AI-assisted speech-to-text and analysis of the conversation to provide support

Important: We do not need (and do not intend) to create a "voiceprint" for identification. If we ever implement voiceprint-based identification, we will provide a separate, explicit notice and consent where required by law.

D. Inferences and Outputs

We may generate outputs and inferences such as:

  • Summaries, checklists, form guidance, eligibility hints, reminders, and recommended next steps
  • Tags or classifications (e.g., "housing interest" or "claims support requested") used to personalize your experience

3) How We Use Information (Including AI)

We use information to:

  • Provide, operate, and maintain VA.org features
  • Analyze documents and inputs using AI to generate summaries, guidance, and tool outputs you request
  • Personalize your experience and improve relevance of resources
  • Communicate with you about your account, updates, and support
  • Match you with partners or service providers only when you request it or explicitly consent (see Section 5)
  • Security and fraud prevention, debugging, and system monitoring
  • Compliance with legal obligations and enforcing our Terms

AI Processing Permission

When you upload documents, enter information, or use AI-enabled tools, you are instructing us to process that content (including through automated systems and AI) to provide the requested features.

We treat uploaded documents and veteran-related information as sensitive and limit access and use accordingly.

Training and Improving AI

  • By default, we use your content to provide the service to you.
  • We may use de-identified and aggregated data to improve VA.org tools, reliability, and safety.
  • We do not use your identified uploaded documents or private messages to train general-purpose AI models for other customers without appropriate notice and choice.

4) Legal Bases / Consent (U.S. Notice Model)

Because U.S. privacy laws vary by state, our processing is based on:

  • Your direction and consent (e.g., you upload documents for AI analysis; you opt into SMS)
  • Contract necessity (to provide services you request)
  • Legitimate operational purposes (security, prevention of fraud, core analytics)
  • Legal obligations (where applicable)

For certain "sensitive data" uses (as defined by some states), we provide additional choices where required.

5) How We Share Information

We do not sell your personal information.

We may share information in these situations:

A. Service Providers (Processors/Vendors)

We use trusted vendors for hosting, analytics, communications (email/SMS), customer support tooling, and AI processing infrastructure. They are permitted to use data only to provide services to us under contract.

B. Partners You Choose (Referrals / Requested Services)

If you request to be connected to a third party (for example: attorneys, lenders, brokers, education providers, or other service providers), we may share the information needed to fulfill your request. When required, we'll ask for explicit consent before sharing.

C. Advertising and Analytics Partners (Cookies/Pixels)

We may share limited device/usage data via cookies and pixels for:

  • Analytics (site performance and improvements)
  • Retargeting/advertising measurement (where enabled)

You can opt out (see Section 7), including via Global Privacy Control where applicable.

D. Legal and Safety

We may disclose information if we believe it is necessary to:

  • Comply with law, subpoenas, or lawful requests
  • Protect rights, safety, and security of VA.org, our users, or others
  • Prevent fraud, abuse, or security incidents

E. Business Transfers

If VA.org is involved in a merger, acquisition, financing, or asset sale, information may be transferred as part of that transaction, subject to appropriate protections.

6) Your Privacy Rights (U.S. State Privacy Laws)

Depending on where you live, you may have rights to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Delete information (with certain exceptions)
  • Obtain a copy (data portability)
  • Opt out of certain processing, including:
    • Targeted advertising
    • Certain forms of profiling (where applicable)
    • Sale or sharing of personal information (California uses "share" to include some cross-context behavioral advertising)
  • Limit use/disclosure of sensitive personal information (California)
  • Appeal certain decisions about your request (required in some states)

How to submit a request: Email info@va.org with subject line "Privacy Request" or call +1 870 335 3627. We will verify your request (to protect you from fraud) and respond within legally required timelines.

Global Privacy Control (GPC): Where required, we honor opt-out preference signals such as GPC for certain browser contexts.

7) Cookies, Analytics, and Advertising Choices

We use cookies and similar technologies for:

  • Essential site functionality (login, security)
  • Preferences
  • Analytics
  • Advertising/retargeting (if enabled)

Your choices:

  • Adjust browser settings to block or delete cookies
  • Use opt-out tools provided in our cookie banner (if available)

9) Data Retention

We retain personal information only as long as necessary for:

  • Providing services
  • Maintaining records for security and compliance
  • Resolving disputes
  • Enforcing agreements

You may request deletion, but we may retain limited information where legally permitted (e.g., security logs, fraud prevention, or compliance).

10) Security

We use administrative, technical, and physical safeguards designed to protect information (such as encryption in transit, access controls, and monitoring). No system can be guaranteed 100% secure.

11) Children's Privacy

VA.org is intended for a general audience and is not designed for children under 13. We do not knowingly collect personal information from children under 13. If you believe a child provided information, contact info@va.org.
